The 1ME platform
How the 1ME platform handles work and information
The 1ME platform is the system 1800 Mr Excavate uses to book operators, run the day, and keep the safety and pay record. 1800 Mister designed and built it. 1800 Mr Excavate Pty Ltd operates it. Last updated 23 October 2026.
It has four parts:
- This website, 1800mrexcavate.com.au
- The operator app, including the copy an operator keeps on their phone
- The client portal
- The office side
It rosters people, records hours, and holds safety records. Under the Work Health and Safety Amendment (Digital Work Systems) Act 2026 (NSW), that makes it a digital work system. SafeWork NSW is writing the guidelines for how a business gives reasonable assistance to inspect a system like this. Those guidelines are not issued yet. When they are published, we will follow them. Registering to take part in the consultation that is writing them is our next step. The privacy policy covers the Australian Privacy Principles in full.
What we use information for
- Tell an operator where and when they are working, and check the hours against fatigue limits
- Record hours so we can pay operators and invoice clients
- Keep the safety record of the day: prestarts, Take 5s, SWMS sign-ons, and hazard and incident reports
- Call an operator before the machine starts if the fit-for-work check says they are not fit
- Follow up a hazard or incident, tell the client of that site, and decide whether SafeWork NSW must be told. That decision is a person in the office
Where a person's information stops
An operator. The office holds the personnel file: name, mobile, email, address, date of birth, emergency contact, medical notes, pay rate, tickets and the login. The operator can see their own file. Another operator's view stops at their own records. There is no public sign-up. A login exists only for a person the office has set up.
A client. A client sees the card the operator has approved: display name, photo, headline, machines, skills, availability, years, and whether a verified ticket is current. Ticket numbers, phone, address, date of birth, pay, goals and medical notes stay with the office. On a job, the operator's name travels with that shift's prestart, Take 5, SWMS sign-on and the invoice, including the copy that goes to Xero. The prestart a client receives says fit or not fit. Sleep hours stay with the operator and the office.
Someone named on a report who does not have a login. A witness, an injured person or a site supervisor may be named in the report. They get no profile. The office and the operator who filed the report can see those names. The office email about the report includes them, and injury detail when there is an injury. The office may pass the report to the client of that site, and must give it to SafeWork NSW when the incident is notifiable.
Someone who opens Support. The operator app lists free, confidential help lines. Opening that page creates no record of who looked.
Commitments already in the software
- Location is recorded only when an operator taps "Add my location" on a report
- A person in the office confirms any shift that would break a fatigue limit. The platform warns. It does not put someone on the next job by itself
- Clients see fit or not fit. Sleep hours stay with the operator and the office
- Opening Support creates no record of who looked
- Photos are stored only when the operator chooses to add them
The booking score
When a client asks for an operator, the platform shows a score for the people who are free and suited to that machine. The score adds up current tickets for that machine, skill level, whether that machine is one they work, and how many prestarts, SWMS sign-ons and Take 5s were filed in the last 28 days. It is shown to that client for that request. It is not a location, speed or break-time score. The office confirms who goes on the roster.
Where the copies sit
- The record is stored with Supabase in its Sydney region
- An operator's phone keeps their own roster, and any hours, prestarts or reports that have not been sent yet
- Cloudflare delivers the website and app files
- Alert emails and invoices go through Resend. Login messages go through our messaging provider
- If an operator taps "Add my location", the office alert email includes a map link for that one point
- "Talk instead" keeps the text. On Android the phone's speech service is Google's, so the spoken words can be processed there before the text is what we store
What we are still finishing
- A stated time for how long each kind of record is kept, and what a deletion request cannot remove because the law requires us to hold it
- Showing the operator the outcome of their own report, including when the answer is no. Today they can see whether it is open, actioned or closed, and the words they wrote
- A read-only export the office can give an inspector or a WHS entry permit holder, so reasonable assistance does not mean sharing a login
When the inspection power in the Act starts, 1800 Mr Excavate Pty Ltd will give that assistance with the export.
